Agency360 for Slack® App

This Privacy Policy applies specifically to the Agency360 app for Slack® ("the Slack App"), distributed through the Slack® App Directory by DashboardLim ("we," "our," or "us"). It explains what information the Slack App accesses, how it is used, how it is shared, and the choices you have. This policy is supplemental to, and does not replace, the general DashboardLim website privacy policy.

Scope of This Policy

This policy covers only the Agency360 Slack App and its integration with your Slack® workspace. It does not cover the DashboardLim website, the Agency360 web application, or any other DashboardLim product.

Information the Slack App Accesses

With the explicit authorization of the workspace administrator who installs the Slack App, we may access:

  • Workspace and channel metadata (scopes: channels:read, groups:read): workspace ID and name, public channel IDs and names, and (for channels you add the App to) private channel IDs and names — used so you can choose where reports are posted.
  • User identity of the installing administrator: Slack® user ID, workspace ID, and team name returned by Slack® during OAuth — used to associate the install with the correct Agency360 organization.
  • OAuth access tokens issued by Slack® at install time — stored encrypted and used only to post messages and read the channel/message data listed in this section on your behalf.
  • Recent messages from public channels you select for context-aware features (scope: channels:history): we read recent message content, sender ID, and timestamp from the channels you choose to monitor, only to detect duplicate alerts, avoid contradicting an in-channel update, and decide whether to post a follow-up. Message content is not stored beyond what is required to make that decision and is deleted from our systems after processing (typically within 24 hours).
  • Recent messages from private channels you have explicitly added the App to (scope: groups:history): same purpose and same handling as above. The App can only see private channels that a member of your workspace has added it to.
  • Posting metadata (scopes: chat:write, chat:write.public, chat:write.customize): the channel ID, message timestamp, and message identifiers returned by Slack® when we send a report or alert — used to track delivery and to support edit / delete on subsequent updates. chat:write.customize additionally lets us set the username and icon shown on the messages we post (e.g. "Agency360 Reports" vs "Agency360 Alerts") so notification types are visually distinguishable; we do not access existing usernames or avatars of your workspace members.
  • Direct-message delivery (scope: im:write): the Slack® user ID of the recipient and the DM channel ID returned by Slack® when we open a DM to deliver a personal alert or digest. We use this scope only to send messages we generate; we do not use it to read your existing direct messages, and Slack® does not grant message-read access through this scope.

The Slack App does not request access to your existing direct messages, files, or message reactions, and does not store full message archives, keyword indexes, or transcripts of your channels.

How We Use Your Information

We use the information accessed through the Slack App solely to:

  • Deliver the features of the Slack App: posting automated reports, KPI snapshots, alerts, and daily/weekly summaries to the channels you configure.
  • Apply context-aware logic to recent channel messages so that alerts are not duplicated and do not contradict an in-channel update. Message content is processed transiently for this purpose and is not retained beyond what is required to make the decision.
  • Send personalised alerts and digests as direct messages to the responsible Slack® user (for example, a status change on a deal owned by that user, or their personal daily KPI digest) when a public channel post would be too broad.
  • Associate a Slack® workspace with the correct Agency360 organization so reports come from the right account.
  • Provide customer support when you contact us, and diagnose technical errors and abuse.

We do not sell, rent, or trade Slack® data. We do not use Slack® data to train generalised artificial intelligence or machine learning models, and we do not use Slack® data for advertising or profiling.

Sharing Your Information

We share information accessed by the Slack App only:

  • With infrastructure providers strictly required to operate the Slack App (cloud hosting, managed database, error monitoring), under contractual confidentiality and data-protection obligations.
  • With Slack Technologies, LLC, when required to deliver messages and respond to requests through the Slack® API.
  • When required by law, legal process, or to protect the rights, property, or safety of users or the public.

Data Retention and Deletion

We retain Slack® workspace metadata, user mappings, and OAuth tokens for as long as the Slack App is installed in your workspace. When you uninstall the Slack App from your workspace (Manage apps → Agency360 → Remove app), we revoke the tokens and delete or anonymise associated workspace data within 30 days, except where retention is required by law. You may also request deletion of any remaining data by emailing the address below.

Security

We use industry-standard measures, including encryption in transit (HTTPS/TLS), encryption of OAuth tokens at rest, scoped credentials, and access controls, to protect data accessed through the Slack App. No system can be guaranteed fully secure; if we become aware of a security incident materially affecting your data, we will notify you in accordance with applicable law.

Your Rights and Choices

  • You can revoke the Slack App's access at any time from your Slack® workspace settings (Manage apps → Agency360 → Remove app).
  • You can request a copy, correction, or deletion of personal data held by us in connection with the Slack App by emailing the address below.
  • Workspace administrators control who in the workspace can configure the Slack App and which channels it posts to.

Children's Privacy

The Slack App is intended for use by businesses and is not directed to children under 16. We do not knowingly collect personal information from children.

Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected on this page with an updated effective date. Continued use of the Slack App after an update constitutes acceptance of the revised policy.
